ballHQ ("we," "our," or "us") operates the ballHQ app and website at https://ballhq.app/privacy. This Privacy Policy explains what information we collect, how we use it, and your choices.
Information We Collect
We collect information needed to run team communication and optional payment features in the app:
- Team name, display name, and access code entered during sign-in.
- Role and team details (for example, coach or parent).
- Team content you create, such as messages, coach updates, schedules, and RSVP responses.
- Athlete name fields entered for RSVP tracking (optional based on team use).
- Images you choose to upload in team posts or updates.
- Push notification token (if you enable notifications on your device).
- Basic local app session data stored on your device to keep you signed in.
- When you make a payment through ballHQ (for example, a parent paying a coach), payment details are processed by our payment processor. We may receive limited payment-related information such as transaction identifiers, amounts, payment status, timestamps, and metadata needed to operate payouts and ballHQ’s processing fee. We do not store full payment card numbers on ballHQ servers—those are handled by Stripe.
We do not require email/password sign-up for basic team access and do not use traditional account registration for that flow.
Payments and Fees
ballHQ may enable parents or guardians to pay coaches or team organizers through the app. Payments are processed by Stripe. Funds flow according to the checkout and payout setup shown in the app. ballHQ may retain a processing or platform fee as disclosed at the time of payment.

How We Use Information
- Provide team access using team name + access code.
- Show schedules, updates, messages, and RSVP information to your team.
- Send team push notifications when enabled.
- Facilitate payments from payers to recipients and collect ballHQ’s disclosed fees.
- Prevent fraud, reconcile transactions, and comply with legal obligations related to payments.
- Maintain and secure app functionality.
How Information Is Shared
We do not sell your personal information. We use service providers to operate the app:
- Supabase (database and file storage).
- Expo push services (notification delivery when enabled).
- Stripe (payment processing, fraud prevention, and related financial services when you use in-app payments).
Information is shared with these providers only as needed to deliver ballHQ features.
Children's Privacy
ballHQ is intended for team coordination by coaches and parents. Minor-related information may be entered by adults managing a team (for example, athlete names for attendance/RSVP tracking). If you believe data was submitted inappropriately, contact us and we will review and remove it as appropriate.
Data Retention
We keep information for as long as needed to provide app features and team history, unless deletion is requested.
Your Choices and Deletion Requests
You may request deletion of your information by emailing privacy@ballhq.app. We may need team details to locate records and process your request.
U.S. Users
ballHQ is currently offered for U.S. users. If privacy laws apply to your situation, you may contact us using the email above and we will work with you on your request.
Changes to This Policy
We may update this Privacy Policy from time to time. Any update will be posted at https://ballhq.app/privacy with a revised effective date.
